1. Information we collect

Clinic staff account data (name, email, login history); patient data entered by clinics (name, kana, date of birth, contact); signature data (signature image, identity-check records, device info); AI receptionist chat and call records.

2. Purpose of use

Creating, sending, signing and storing documents; booking and notifications; identity verification; fraud prevention; service improvement; legal compliance. We process patient data on behalf of clinics and never share it without their instruction.

3. Security measures

TLS 1.2+, encryption at rest with per-clinic keys, tenant isolation, role-based access, MFA, tamper-proof audit logs, write-once originals with SHA-256 tamper detection.

4. Sub-processors

SMS (Twilio), email (Resend/SendGrid), e-signature providers (Adobe Acrobat Sign / DocuSign when selected), AI model providers (when configured; content is sent only to generate replies), payments (Stripe).

5. Access, correction, deletion

Patients should contact their clinic. Clinics can export and delete data from the admin console (except documents under statutory retention).
